How to Reduce Restaurant No-Shows Without Deposits, with WhatsApp Message Templates

12 min read

The surest way to reduce restaurant no-shows is not a deposit. Most guests who miss a booking forgot, changed plans, or found cancelling awkward and said nothing. Make confirming and cancelling easy, remind at the right moment, and keep a record of who misses more than once.

Deposits come last, if at all. Below: a timing table, five WhatsApp messages to copy in English and Arabic, a cancellation policy for your booking page and Instagram, and rules for large groups and Ramadan nights.

Why guests don't show up

The reasons are usually ordinary:

  • They forgot. The booking was made on Sunday for Thursday night, and nothing reminded them.
  • They booked in more than one place. The group chat couldn't decide, so someone held two or three tables and the group went to one.
  • Plans changed. A child got sick, work ran late, the family decided to eat at home.
  • Cancelling felt awkward. Calling to say “we're not coming” is uncomfortable, more so when nobody picks up.

A reminder fixes forgetting, and a message the guest can simply reply to fixes the awkwardness. The other two need a clear policy and a record.

Confirm straight away, on the channel they read

For most guests in the Gulf and Jordan that means WhatsApp, not email. Send the confirmation within minutes of the booking, not at the end of the shift.

A good confirmation repeats the details, says how long you'll hold the table, and gives the guest an easy way out. That last one feels backwards, but a guest who can cancel with one reply will tell you, and the table goes to someone else.

Write the day as a word: “Thursday 8 October” is clearer than “8/10”, which guests from different countries may read as different dates.

For why WhatsApp works better than email for this job, see our guide to WhatsApp confirmations for table bookings.

Remind at the right time

Too early and the reminder is forgotten; too late and the guest can't act on it. Treat these timings as starting points. The hold time is your call: a café with a queue at the door can hold for less than a quiet dining room.

Suggested timings. Adjust them to your restaurant.
BookingConfirmRemindHold the table
2–4 people, same dayRight awayNot needed15 minutes, then call
2–4 people, days aheadWithin minutesMorning of the booking15 minutes, then a call
6 or more peopleRight away, plus a callThe day before, and on the day20–30 minutes, after a call

Eid and fully booked nightsAt once, with the hold timeTwo days before, and on the day15 minutes, stated in the confirmation

Send reminders when people read messages, around late morning rather than 7am, and ask for a clear reply. When the reminder says “reply 1 to keep your table, 2 to cancel”, silence becomes information: anyone who hasn't answered by mid-afternoon gets a short call.

WhatsApp message templates to copy

Short, polite and specific. Replace the brackets, send from your restaurant's own WhatsApp so replies come back to you, and use the language the guest booked in, or both.

1. Same-day reminder

2. Running late?

3. Cancellation received

4. After a no-show

Send it the next day. No blame and no talk of fees: the aim is to find out what happened and keep the guest.

Save these as quick replies in the WhatsApp Business app so every member of staff sends the same wording.

A simple no-show and cancellation policy

A policy guests read before they book saves an awkward conversation at the door. Write only what you actually do, and if you don't charge a fee, don't hint at one.

Put it on the booking page, in your confirmation message, in an Instagram story highlight called “Bookings”, and in your Google Business Profile description. How bookings and guest messages work in AlaMenu is covered in the FAQ.

Large groups and peak nights

When a table for ten doesn't come, you lose ten covers at once, and a long table is hard to refill with walk-ins. Group bookings are also the ones most often made “just in case”.

  • Confirm by phone, not only by message. A two-minute call the day before tells you more than a thumbs-up emoji.
  • Get one contact name and number for the whole group: someone who will be at the table.
  • Agree a time for the final number, for example noon on the day, and set the table for that number.
  • On your busiest nights (the start of your local weekend, Eid, Ramadan iftar) shorten the hold time and say so in the confirmation. At iftar everyone arrives in the same few minutes, and a table still empty after the call to prayer rarely fills that evening.

For how a booking system handles sections, table sizes and seating time, read how to choose a restaurant booking system.

Keep a record of who doesn't come

A guest who misses one booking had a bad day. A guest who misses three has a habit. You only see the habit if someone writes it down.

  • Mark a no-show as a no-show, not as a cancellation, so the record stays honest.
  • Before accepting a large or peak-night booking, check the guest's visits, no-shows and notes.
  • Keep notes staff-only and factual: “No-show twice in August, called both times, no answer.”
  • For repeat no-shows, ask for a phone confirmation on the day, or offer quieter times. Declining is the last resort.

Booking platforms work the same way. TheFork now deletes the accounts of diners with four missed bookings, according to Emarat Al Youm (17 March 2025). That is a platform rule from outside the Gulf, not a benchmark, but the principle holds: a record lets you treat repeat cases differently from one-offs. It is not a blacklist.

Phone, DM and walk-in bookings in one place

Many restaurants here take bookings by phone, WhatsApp and Instagram DM as well as online. A booking kept in a notebook isn't on the floor plan, nobody reminds the guest, and a no-show never reaches their record.

  • Enter phone and DM bookings in the same system as online ones, while the guest is still on the line.
  • Add walk-ins too, so the floor plan shows which tables are really free.
  • Answer booking DMs with your booking page link, so guests pick a time themselves and get the same messages as everyone who books online.

In AlaMenu, staff add phone and DM bookings from the dashboard, walk-ins are added and seated from the bookings screen, and online bookings come in from your menu page, so all of them sit on one floor plan. You can see the booking flow from a demo menu.

What about deposits and no-show fees?

Some Dubai restaurants do charge. A Gulf News report from 5 November 2018 found restaurants taking card details at booking and charging from Dh100 to over Dh300 per person for no-shows or cancellations made less than 24 hours ahead, some only for larger groups. A Khaleej Times report from 6 March 2021 found fees of up to Dh300 per person, while one hospitality group simply held tables for 30 minutes and then released them.

Those are busy, high-spend rooms with more demand than tables. For a café the sums are different.

How AlaMenu helps reduce no-shows

  • Guests book from your menu page and pick a time. The booking lands on your floor plan, and the same table can't be booked twice for overlapping times.
  • The guest gets a WhatsApp message when their request arrives and another when you confirm or cancel it, from AlaMenu's number or, on Premium, your own. If a confirmation or cancellation doesn't go through, the booking shows it.
  • Each booking with a phone number has a WhatsApp button that opens a chat with the guest from your phone, message already written. Edit it into a reminder or a “running late?” note; replies come straight to you.
  • Bookings you add by hand are saved as confirmed without an automatic message, so send the confirmation with that button.
  • Open a booking to mark it as a no-show. The guest book keeps one record per phone number with visits, no-shows and staff-only notes, and a returning guest is flagged on the booking card with a link to their history.

What it doesn't do: send reminders automatically, take deposits, or run a waitlist. Reminders are one tap per booking. Bookings and the floor plan are on the Free plan with 0% commission; see the booking system and pricing.

Questions

How long should a restaurant hold a table for a late guest?

There's no fixed rule. Many restaurants hold for about 15 minutes and call before releasing the table; groups often get 20 to 30. Pick a time, put it in the confirmation, and apply it every night.

Should a small restaurant take deposits?

Usually not as a first step. Deposits suit busy fine-dining rooms and large groups. For a café or casual restaurant, a quick WhatsApp confirmation, a same-day reminder and an easy way to cancel cost less.

When should I send a booking reminder?

On the morning of the booking for most tables, and the day before for groups and busy nights. Send it when people read messages and ask for a reply, so silence tells you to call.

What should a no-show policy say?

How long you hold a table, how to cancel (a WhatsApp message or a call), and any rule for large groups. If you charge a fee, state the amount and when it applies. Put it on the booking page and in the confirmation.

Can I see which guests have not shown up before?

Only if you record it. In AlaMenu, a booking marked as a no-show goes on that guest's record, and the guest book shows visits, no-shows and staff-only notes per phone number.

Does AlaMenu send automatic reminders?

No. It sends a WhatsApp message when a booking request arrives and when you confirm or cancel it. For reminders, the WhatsApp button on each booking opens a prefilled message to the guest that staff can edit and send.
